Operations Manager - Logistics
Summary
The Operations Manager is responsible for managing the execution, direction, and coordination of all transportation operations within the company. This includes managing and controlling departmental budget, organizing schedules & routes, ensuring that vehicles are safe and meet legal requirements, and making sure that all subordinates are aware of their duties through scheduled trainings.
Responsibilities
Customer support & satisfaction
- Liaise with the stake holders for any bottlenecks (like delays at border etc.) during the trip and monitor the trip closely to ensure that the cargo is delivered timely, safely, and correctly
- Champions a 'customer first’ approach. Understands and appreciates customer requirements and quality standards. Engages with internal and external customers to meet and exceed customer expectations
- Ensure Timely service delivery through journey management plan (JMP)
- Ensure customer retention
- Conduct customer satisfaction survey to gauge service delivery satisfaction levels
Business Development
- Conduct business research/survey to identify new markets and customer needs.
- Identify, nurture, and acquire new clients and business opportunities to drive company growth and increase profits
- Develop a growth strategy focused both on financial gain and customer satisfaction
- Interacts with market and get as many orders as possible to allocate to the market.
Planning, budgeting & expenses control
- Oversees cost control and actively seeking to improve efficiency, reduce operating costs, increasing margin whilst meeting budget as a minimum
- Plans and allocates all those load that cannot be catered by company trucks to Market hire as much as possible
- Ensure that the driver is paid the trip return allowance as per the approved allowance per route within 24 hours
- Ensure that the trip sheet is updated daily with regards to all the expenses and locations made for the trip.
- Planning new routes and its trip budget and forward for approval
- Ensure effective utilization of trucks
- Deploys appropriate controls and procedures to effectively and efficiently manage all aspects of customer service and communication.
Compliance
- Ensure all Truck Drivers signs trip dispatch forms before embarking of new trip
- Ensure that all truck documents (COMESA, LATRA, Safety Stickers, TRA,etc.) are updated and meet with the legal and regulatory requirements of Transit Business.
- Consistently promotes and adheres to Company policy, procedure and legislation, including but not limited to, that relating to health and safety
- Maintain accurate records of trucks and its documents
System Application
- Ensure the ERP system captures all information correctly from the Ops department for invoicing by the Finance department.
- Supervise the utilization of the ERP system from the Ops department
- Ensure the ERP system is the source for all financial and non-financial data
PoDs
- Upon return and collection of the PODs, tally the loaded and offloaded quantity. In case of shortages, recover the value of shortages from the responsible staff / driver
- After collecting the PODs and recovery of shortages, PODs are handed over to the finance department for generation of invoice and payment of allowances to the Drivers
- Ensure that the correct quantity is delivered to the client at the destination and that the driver submits the PODs to the office staff
Performance targets & Evaluation
- Prepares, Submit and Present the monthly ops departmental report
- Ensure you meet your targets and those of the subordinates
- Setting performance targets, conduct & submit performance evaluation for all subordinates under the Operations department to the Human Resources Department
- Issue the performance Improvement Plan for poor performers
Booking of Trucks
- Ensure all booked trucks have prior allocations approval
Daily Tracking of Trucks
- Ensure the tracking report is prepared and sent on daily basis
Truck Dispatch
- Ensure all dispatched trucks have proper documents which align with the registration cards, Chassis number and fixed on a specific trailer
SoPs
- Develop and present the SoPs for Ops department for approval
Experience Requirement
- Both local and expats are encourage to apply
- At least bachelor’s degree in transport and logistics management from reputable and certified training Institution
- Minimum of Eight years’ experience in transport and Logistics with both transit and local routes knowledge
- Excellent Report Writing
- Excellent Computer Usage (Ms-Applications)
- Customer oriented
- Excellent communication skills (both verbal and written)
