Shipping Line Officer – Import Operations
Job Summary:
The Shipping Line Officer plays a key role in managing and coordinating import operations for a clearing and forwarding company. They ensure timely and efficient processing of shipping documents, oversee compliance with customs regulations, and maintain effective communication with shipping lines, port authorities, and clients.
Key Responsibilities:
Document Handling:
- Verify and process shipping documents, including Bill of Lading, container number, or the chassis number of the vehicles or machines;
- Prepare and submit necessary documentation for customs clearance and import processes.
Coordination with Stakeholders:
- Liaise with shipping lines, port authorities, customs agents, and clients to facilitate smooth operations.
- Monitor the arrival of vessels and ensure the timely obtainment of the Delivery Order and the drop-off letter of the empty containers;
Tracking and Updates:
- Track shipments and provide regular updates to clients on the status of their cargo.
- Resolve any discrepancies or delays in coordination with stakeholders.
Compliance and Regulation:
- Ensure all activities comply with local and international shipping regulations.
- Stay updated on changes in customs laws and import policies.
Operational Support:
- Coordinate the timely offloading of cargo and arrange transportation to client locations.
- Handle claims or disputes related to damaged or missing shipments.
Reporting and Record Keeping:
- Maintain accurate records of all shipping and clearance activities.
- Prepare reports for management on import operations and key performance metrics.
Qualifications and Skills:
Education and Certification:
- College or Bachelor’s degree in Logistics, Supply Chain Management, Business Administration, or a related field.
- Certification in freight forwarding, logistics, or shipping operations is an advantage.
Experience:
- Minimum of 2–3 years of experience in shipping, clearing, and forwarding operations.
- Familiarity with import documentation and customs clearance procedures.
Technical Skills:
- Strong knowledge of INCOTERMS, international trade regulations, and customs laws.
Communication Skills:
- Excellent verbal and written communication skills.
- Ability to build and maintain relationships with clients and stakeholders.
Problem-Solving and Organizational Skills:
- Strong problem-solving abilities to address operational challenges.
- Exceptional organizational and multitasking skills.
